Meeting & Conference Policies

Special Diets & Dietary Restrictions

We’re happy to accommodate dietary needs such as vegetarian, vegan, gluten-free, and common allergens. Be sure to include any restrictions when placing your order so our team can plan accordingly.

Policies & Procedures

To ensure the optimal selection and the best possible service, we kindly ask that events are booked at least 14 business days in advance. While we strive to accommodate events with shorter timelines, bookings made within 13 business days of the event are subject to availability and may incur expedited planning fees or come with limited-service options.

Final Guarantee/Confirmation

We kindly request a confirmed number of guests or any changes to your order be specified 3 business days before the event. This number is considered a guaranteed guest count. The final guest count cannot be reduced within the 72-hour timeframe before the event. Guest count can be increased. The price and menu may vary for the increased numbers, as these are based on product availability.

Fees

Applicable charges may include food & beverage, staffing, rentals, and service fee. Additional costs may apply for expedited bookings, custom setups, or specialty equipment.

Additional Fees

Overstay Fee: Time in conference room past reservation time – 1 hour minimum | $200/hour

Service Fee: 15% of pretax total of all catering and conference center items and services. This fee is applied for setup, maintenance, and breakdown of all catering and conference center events.

Upgraded Service Ware & Special Occasion Rentals: All disposable service ware will be furnished as an accompaniment to all items purchased. There is an additional cost for service ware that is requested and not our standard. China is available upon request, and the order to be placed 5-7 days in advance. China fees are applicable and include flatware, salad/entree/dessert plate, and beverage glass. A fee will apply for special requests. Prices vary – please contact the Catering Manager for pricing.

Linens: Buffet linens are available upon request. Linens for guest tables or custom decor must be prearranged and may include rental fees.

Billing

Invoices will be issued once the order is confirmed. We accept checks, ACH, and major credit cards (processing fees may apply). Full payment is required before the event.

All disposable service ware will be furnished as an accompaniment to all items purchased. We provide high quality disposable paperware. There is an additional cost for service ware that is requested and not our standard. China is available upon request, and the order to be placed 5-7 days in advance. China fees are applicable and include flatware, salad/entree/dessert plate, and beverage glass. A fee will apply for special requests.

Cancellation Policy

If you need to cancel your event, please notify us in writing as soon as possible. Cancellations made at least 5 business days before the event will receive a full refund. If canceled 3 – 4 business days before, you will receive a 50% refund. Unfortunately, cancellations made within 2 business days of the event are non-refundable.

Insurance

Certificate of Insurance with a minimum $1,000,000 general liability insurance. A tenant user TULIP policy may be provided if necessary.

Tax Exemption

Tax-exempt organizations must submit a valid exemption certificate at the time of booking to avoid sales tax.
